You / data subject means visitors to our website, subscribers to any service we offer, and prospective or existing clients corresponding with us by any means.

We are the data controller for the purposes of the UK GDPR and the Data Protection Act 2018 (as amended by the Data Use and Access Act 2025).

3. Personal data we collect

Data you provide directly

When you contact us, submit an enquiry form, or correspond with us by email, we may collect your first name and surname, email address and telephone number, and any information you choose to include in your message.

As part of our specialized Global Talent endorsement coaching services, clients share professional documents to assist with mapping their achievements. These documents include CVs, personal statements, draft endorsement materials, evidence documents, and letters of recommendation. These documents routinely contain full name, date of birth, and residential address; nationality, citizenship, and current immigration status; employment history, educational background, and qualifications; professional achievements, publications, and research outputs; references and their professional contact information; and any other technical background information included in your professional portfolio.

We use these documents solely to provide the Global Talent endorsement coaching service you have purchased. We do not share your documents with any third party without your explicit consent, except where required by law.

Session recordings and transcripts

Coaching and strategy sessions conducted via Google Meet may be recorded and transcribed with your explicit verbal consent given at the start of the session. If you do not consent, the session proceeds without recording.

We may use anonymised and de-identified transcripts to develop educational content and resources. All identifying personal information is permanently removed before any such use. You may opt out of this at any time by notifying us before or during your session.

Data collected through third-party services

Stanstore: our digital storefront for purchasing coaching sessions and digital products. Payment and contact details are processed by Stanstore under their own privacy policy. We do not store your payment card details.
Brevo: our email marketing platform. If you subscribe to our mailing list, your email address is shared with Brevo. You can unsubscribe at any time.
Acuity Scheduling: if you book a session through our scheduling tool, your name, email, and booking details are processed by Acuity.
Google Meet: used for all coaching sessions. Session recordings, where consented, are processed via Google's infrastructure.
CookieYes: used to manage cookie consent preferences on this website.
Netlify: this website is hosted on Netlify. Netlify may collect standard server logs including IP addresses.
Google Analytics: where enabled, we use Google Analytics to understand how visitors use our website. This collects anonymised data and is only set with your consent.
Meta / Instagram Pixel: where enabled, we may use the Meta Pixel to measure the effectiveness of our advertising. This is a marketing cookie set only with your explicit consent.
Google Ads: where enabled, we may use Google Ads conversion tracking to measure advertising effectiveness, set only with your explicit consent.

Data collected automatically

When you visit our website, we may automatically collect technical information including your IP address, browser type, device type, pages visited, time of visit, and referring URL. This is collected through cookies and analytics tools as described in Section 8.

We do not sell your personal data to any third party. We do not use your data for automated profiling that results in automated legal outcomes.

4.1 Profile evaluation and automated triage

We use automated workflows (including conditional logic within our Tally enquiry forms and scheduling systems) to categorise, route, and process incoming data based on the background information you submit (such as your sector of expertise, career achievements, or professional milestones). This processing is used strictly to provide you with an automated summary overview of where your professional profile stands in relation to general Global Talent program frameworks, and to manage high volumes of incoming submissions efficiently.

Please note: This profile evaluation is an informational tool used for educational purposes only. We are not an immigration law firm and do not provide legal visa eligibility assessments, nor do we calculate or guarantee your formal legal eligibility for an endorsement or visa. We do not perform solely automated decision-making that produces legal or similarly significant effects. All final determinations regarding any subsequent manual profile reviews, strategy sessions, or formal service delivery are subject to direct human review and intervention by our expert team.

5. Information you provide about others

If you provide personal data about other individuals (such as referee or expert contact details), you confirm that you have notified them of the purposes for which their information will be used and have obtained any necessary clearances.

6. Lawful basis for processing

Contract: to perform our coaching and digital product services when you make a booking or a purchase.
Legitimate interests: to respond to enquiries, improve our services, develop educational content from anonymised data, and to facilitate corporate reorganisations, including the secure migration of contact databases from related business entities (such as EP Advisory Group Limited) to ensure operational continuity for Global Talent candidates.
Consent: for email marketing via Brevo, session recordings, and non-essential cookies (including analytics and marketing pixels).
Legal obligation: where required by applicable law, including UK tax and statutory accounting requirements.

7. Data retention schedule

We retain personal data only for as long as strictly necessary to fulfill our business objectives and legal defence requirements:

Unconverted enquiry data: personal data from initial website submissions or Tally forms that do not result in a purchase will be retained for a maximum of 5 years from the date of your last active communication with us. This extended period is necessary to accommodate multi-year professional development timelines as candidates build their profiles.
Active client portfolios and documents: core coaching assets (CVs, achievements, draft endorsement materials) are retained for a maximum of 6 years from the formal completion or termination of your coaching agreement, benchmarked against the statutory limitation period for breach of contract claims under English law.
Session recordings and transcripts: Google Meet recordings and associated transcripts are kept for a maximum of 2 years from the date of the session for quality assurance and internal dispute resolution purposes, then permanently deleted.
Statutory financial and purchase records: invoices, transaction data, and contract identifiers are retained for 7 years from the end of the UK financial tax year in which the transaction occurred, to comply with HMRC requirements.
Marketing databases (Brevo): contact details are retained until you actively withdraw consent or unsubscribe, at which point the record is immediately blacklisted to prevent further communication.

8. Cookie policy

A cookie is a small text file placed on your device when you visit a website.

Essential cookies: necessary for the website to function. They cannot be switched off. This includes cookies set by CookieYes to store your consent preferences.
Analytics cookies: where you have given explicit consent, we use Google Analytics to understand how visitors use our website. These cookies collect information in an anonymised form.
Marketing cookies: where you have given explicit consent, we may use Meta (Instagram/Facebook) and Google Ads cookies to measure advertising performance and show relevant ads. These can be withdrawn at any time via the cookie consent banner.

9. Social media features

Our website includes social media links and may include embedded content from YouTube or Instagram. These features may collect your IP address, record which page you are visiting, and set cookies to function properly. Your interactions with these platforms are governed strictly by their own respective privacy policies.

10. Security

We take client confidentiality exceptionally seriously and use industry-standard security measures to protect your personal data from unauthorised access, use, or disclosure. However, no internet transmission can be entirely impenetrable. If you believe your interactions with us are no longer secure, please notify us immediately.

11. International transfers

Some of our third-party service providers may transfer data outside the UK and EEA. Where this occurs, appropriate safeguards (such as UK International Data Transfer Agreements or Standard Contractual Clauses) are in place to ensure compliance with the UK GDPR and the lower threshold parameters introduced by the Data Use and Access Act 2025.

12. Children

Our services are not directed at children under the age of 18. We do not knowingly collect personal data from children.

13. Your rights

Access: request a copy of the personal data we hold about you (subject to reasonable and proportionate search limitations).
Rectification: request the correction of inaccurate data.
Erasure: request the deletion of your data where there is no overriding legal reason (such as the tax or contract defence limits in Section 7) to continue processing it.
Restriction: request that we restrict the processing of your data in certain circumstances.
Portability: request the transfer of your data to another organisation in a structured, machine-readable format.
Objection: object to processing based on our legitimate interests.
Withdraw consent: withdraw your consent at any time where processing is based on consent (such as session recordings or marketing emails).
Complain: lodge a complaint regarding our data practices. In accordance with UK data protection frameworks, you have the right to escalate matters to the Information Commissioner's Office (ICO) at any time. We kindly encourage you to engage with our internal complaints procedure first so that we may address your concerns directly.

13.1 Internal data complaints and escalation procedure

If you have any concerns or complaints regarding how UKGTEC Limited handles your personal data, we encourage you to lodge an internal complaint with us so we can resolve the matter swiftly:

1. Submission: please email your complaint directly to our Data Compliance Officer at elizaveta@ukglobaltalentexpert.com with the subject line "Formal Data Complaint".
2. Acknowledgement and review: we will formally acknowledge receipt of your complaint within 5 working days and initiate an internal review of the processing activity questioned.
3. Resolution notice: we will provide a comprehensive written resolution notice within 15 working days of receipt, outlining any remedial actions taken.
4. External escalation: you retain the right to escalate your complaint directly to the Information Commissioner's Office (ICO) at any stage of this process using our registration reference ZC147654 at ico.org.uk/make-a-complaint/.
